Job Posting: Administrative Assistant – Road Department

The Twiggs County Board of Commissioners is seeking a qualified professional for the position of Administrative Assistant for the Road Department.

Job Summary:

The Administrative Assistant is responsible for overseeing all office operations and financial activities within the County’s Road Department. This includes managing accounts payable, processing invoices, maintaining accurate financial records, preparing reports, and handling all clerical and administrative duties. The role ensures compliance with governmental accounting standards while supporting department operations through effective record-keeping, communication, and financial management.

Essential Job Duties:

The following duties are representative of the work required for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be assigned.

  • Manages financial records, including accounts payable and budget tracking.
  • Prepares and submits financial reports for the Road Department.
  • Processes invoices, purchase orders, and work orders.
  • Assists in monitoring and reconciling department expenditures.
  • Provides clerical and administrative support, including data entry, document filing, and correspondence preparation.
  • Coordinates financial documentation and transactions with vendors, contractors, and county departments.
  • Answers telephone calls, provides customer service, and manages inquiries related to the Road Department.
  • Assists with grant reporting and project funding documentation.
  • Maintains accurate records for audits, financial reporting, and compliance reviews.
  • Prepares correspondence and reports as directed by the Road Department Supervisor or County Administrator.

Knowledge, Skills, and Abilities:

The Administrative Assistant must be knowledgeable in the following areas:

  • Governmental accounting principles and financial reporting.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software.
  • Strong attention to detail and ability to maintain accurate financial records.
  • Ability to manage multiple tasks and meet deadlines.
  • Effective written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Knowledge of general office procedures and records management.
